The educational requirements differ slightly between for PhD students working at the Amsterdam UMC and the NKI:

Portfolio review

Once you’ve reached the final phase of your doctoral journey, it’s time to have your portfolio reviewed. This is necessary to do before you can submit your final manuscript to the dissertation committee.

The portfolio will be assessed based on the OOA training requirements, regardless of your start date. Your portfolio doesn’t need to align 100% with what you initially planned at the beginning of your journey (training plan). The training plan served as a blueprint, and throughout your trajectory, your plans may naturally evolve.

Educational requirements

The educational requirements differ slightly between for PhD students working at the Amsterdam UMC and the NKI:

  • A total number of 30 ECTS credits
    (1 ECTS equals 28 hours)
  • The course Scientific Integrity and Ethics
    (2 ECTS)
  • At least one scientific conference visit
    (max 2 ECTS per visit)
  •  At least 8 ECTS earned in professional knowledge and general skill courses

OOA educational requirements NKI

  • A total number of 30 ECTS credits
    (1 ECTS equals 28 hours)
  • The course Scientific Integrity and Ethics
    (2 ECTS)
  • At least 8 ECTS earned in professional knowledge and general skill courses
  • At least one scientific conference visit
    (max 2 ECTS per visit)
  • Write a scientific paper at least one time.
  • Annual supervisory committee meetings.
  • Participation in the OOA retreat at least two times. 

The remaining credits can be obtained by participating in amongst others, courses, giving education, activities, retreats, conferences and (work) discussions. For information about how many ECTS can be earned per activity: click here.

Portfolio assessment procedure

Please check the flowchart below to determine which portfolio assessment procedure applies to you and how you can have your portfolio approved.

Information for NKI PhD candidates

Your NKI supervisory committee evaluates and approves the portfolio. This must then be submitted to ooa@nki.nl. You will defend your thesis at the university where your supervisor holds a chair. If this is VU or UvA: please follow the steps outlined in the schema above. For other universities, please consult your supervisor for further details.

Information for VU PhD candidates:

your portfolio is assessed through the PhD candidate tracking system, Hora Finita. Please note that for each completed activity, the PhD candidate must upload a (signed) document of proof. Your portfolio cannot be approved without adequate documentation of completed courses. Make sure that the amount of time invested or number of ECs is presented on the documents. In case this is not provided on a certificate or document of completion, you must add a print screen of the followed course information describing the time investment or corresponding ECTS.

After the registration of educational activities in Hora Finita, an automatic task will be generated that is sent to the supervisor’s tasks list in their HF dashboard. The supervisor needs to log in to their HF dashboard and will find the educational activities that need approval in the tasks list. After approval by the PhD supervisor, that activity will be locked in the portfolio, which means that the PhD candidate cannot make changes anymore. When the activities/courses are approved by the first primary promotor, an overall assessment can be requested in HF by clicking the portfolio request button. If desired, an official OOA training certificate can be requested via ooa-tp@amsterdamumc.nl.

After your portfolio is approved through the HF, you can upload your manuscript through this system.

On the VU website are various guidelines available (for the PhD candidate and the supervisor) regarding the portfolio assessment.

It’s the responsibility of your first supervisor (promotor) to assess the activities you upload in Hora Finita based on the content of the activity. The overall assessment of the portfolio is done by the OOA Graduate School. We will verify if your portfolio meets the requirements of the OOA training plan.

Information for UvA PhD candidates

You have to send your completed training plan (portfolio) to ooa-tp@amsterdamumc.nl. Please use this template. Of course, you are free to use your own lay-out in your final thesis manuscript. OOA will review the portfolio and send an approval by email to the PhD candidate and first promotor.
